This policy explains how ZepDesign processes personal data through this website and when responding to a contact enquiry.
Who is responsible?

What information do we use?
For an enquiry, we request your name, email address, message and optional company name. Provide only information needed for your enquiry; do not send passwords or sensitive personal data. For technical operation and security, the hosting environment may process information such as your IP address, timestamp, requested page and browser details. The PHP contact handler uses a value derived from the IP address and a counter to limit abuse.
Why do we use it, and on what basis?
We use your contact details and message to respond and, when requested, discuss a quotation or possible collaboration. For requests to enter into a contract, the basis is taking steps at your request before a contract. For general enquiries and security, the basis is our legitimate interest in being accessible and preventing abuse, balanced against your privacy interests. Remembering your language in browser storage requires your consent.
How does the contact form work?
On PHP hosting, the form sends your details to the contact handler on the same website. It submits the message through the mail service for delivery to info@zepdesign.nl. Acceptance by the mail server does not guarantee inbox delivery. In the private preview, the form opens your email application; the message is sent only when you send it there yourself. We do not save form contents in local browser storage.
Who may receive the information?
ZepDesign handles enquiries. Only people who need the information to respond and necessary technical hosting and email providers may process it for that purpose. We do not sell your information or use the website for advertising tracking. This private preview is provided through Sites; its hosting environment may process necessary access and security data and cookies. External websites, such as ZepPlanner, have their own privacy policies.
How long do we keep it?
We keep contact details and correspondence for as long as needed to deal with the enquiry and any follow-up. If a business relationship develops, relevant correspondence may become part of the customer file. We then delete information unless it remains necessary for a legal obligation or a specific legal dispute. Browser choices are valid for up to 180 days. The abuse counter uses a one-hour window; expired entries are removed on a subsequent valid form request. Technical hosting and mail logs are managed within those systems.
Security and international transfers
We restrict access to personal data and apply technical checks to the contact form. If a provider processes data outside the European Economic Area, applicable safeguards must be in place, such as an adequacy decision or appropriate contractual arrangements. Contact ZepDesign for information about providers and where your data is processed.
Your rights
You may request access, correction, deletion, restriction or portability where applicable. You may object to processing based on legitimate interests. You may withdraw permission to remember your language at any time through Cookie settings. This does not affect the lawfulness of earlier processing. Send requests to info@zepdesign.nl. We generally respond within one month and may ask for proportionate information to verify your identity. You can also complain to the Dutch Data Protection Authority.
Cloudflare Turnstile
When you submit the PHP contact form, we load Cloudflare Turnstile to prevent automated abuse. Cloudflare processes technical data such as your IP address and browser and device information. Our server sends the challenge token to Cloudflare for verification; your contact message is not included in that verification request. This security check is separate from the optional language preference. The private email-composition preview does not load Turnstile. See also the Cloudflare privacy policy.

See our cookie policy for browser storage and your choices. This policy covers this website and contact enquiries, not processing within individual software products. We update the policy when the website or processing changes. The date above shows the last update.
